A certificate in a folder is only a starting point. To use it as evidence, establish who it covers, what it covers and whether it is valid for the requirement.
01. Build a useful register
Capture the supplier, certificate number, standard, issuing body, facility or scope, validity dates, source file and reviewer. Link products only when the certificate or reviewed supporting evidence establishes the connection.
02. Check scope, not just expiry
A current certificate can still apply to the wrong facility or activity. Check its stated scope against the actual requirement.
03. Separate different outcomes
Keep no evidence, awaiting review, expired and unclear scope separate. Each needs a different follow-up.
04. Ask for the precise correction
For an expired certificate, ask for a current replacement and applicable scope. If scope is unclear, ask for clarification instead of another identical PDF.
A certificate expired on 30 June 2026. The requirement asks for current evidence on 21 September 2026. The old file remains useful context, but it cannot establish current coverage. Request a renewed certificate.
